2. b To see the additional rows click the arrow at the bottom of the list or select a group from the drop down list 11 When you are done viewing the calendar please close your browser to exit INFORMATION ENGINEERING BRANCH Printed 5 19 2009 22 MDL ROOM REOUEST USER MANUAL APPENDIX Appendix A Using the List of Values LOV This provides you with a guide to using the list of values that are used in this application Searching Using the Primary Field In every LOV whatever the first column is that column is always the primary searchable field In other words when the LOV opens if you start typing text that you are looking for in the first column it will begin to narrow your search It is important that you do not click anywhere before you begin typing 1 In the LOV below the primary field would be Department Code For instance if you were searching for BIO type B You will notice immediately it begins to filter out everything that does not begin with the letter Department List Find b Dept Code Mama Brigade Commander Biomedical Instrumentation Center Biomedical Informatics Department Biochemistry Board of Regents Executive Secretary Eind cancel 2 Next type the letter P Notice that it further filters out those choices that don t match 3 If you enter an incorrect letter you can press the backspace key on your keyboard to get back to a particular st

You also received this number in the confirmation email that you received from MDL 6 Inthe Your Email Address field enter the email you entered in the request This field is case sensitive You MUST enter this email exactly how you entered it in the request or you will not be able to retrieve your request 7 Click the button You will see the request you entered You will see that the confirmation and authorization fields have been added This section shows you if your request has been approved or cancelled and by whom If you realize that you need to cancel this request contact the MDL office by phone or email Make sure you have the event number as this will help them process your cancellation more efficiently INFORMATION ENGINEERING BRANCH Printed 5 19 2009 20 MDL ROOM REOUEST USER MANUAL Tutorial 3 B Viewing All Pending Room Reguests This tutorial guides you through the steps of viewing all reguests that are awaiting approval by the MDL office L If you have not already accessed the MDL Scheduler Online Room Request Menu please refer to Tutorial 1 on how to access the system Once you have reached the MDL webpage click the 21 91 9 Room Requests Jink on the left side under the MDL Schedules heading You may get a Certificate Error Page If you do click the link that says Continue to this website You will see the Pending Room Reguests heading at the top of the page You

7. can Search for a request by entering your search criteria in the Search field and clicking the ESI button The columns you can search on are listed below The search returns any value that matches or contains your criteria a Event No b Tracking Number When you are done viewing the calendar please close your browser to exit INFORMATION ENGINEERING BRANCH Printed 5 19 2009 21 MDL REOUEST USER MANUAL Tutorial 3 B View Calendar This tutorial shows you how to view the Monthly Room Schedule Calendar and the approved reguests 7 you have not already accessed the MDL Scheduler Online Room Request Menu please refer to Tutorial 1 on how to access the system 8 On MDL Scheduler main menu screen click the View Room Schedule Calendar button You will see the monthly calendar view You may encounter the certificate page Ai r if so please click the Continue to this website Jink to continue 9 If you want to move forward or backward in the calendar click the or 10 you would like to see the details for a particular scheduled item click the red link that says Click for details The number after that statement tells you how many events are scheduled for that day a You will see the details of the events scheduled for the day you chose If you d like to see another date click the calendar date you would like to view then click the EJ button

GINEERING BRANCH Printed 5 19 2009 MDL REOUEST USER MANUAL INTRODUCTION The new system that will be used is the Multidiscipline Laboratory MDL Scheduler This application replaces the paper Room Request forms as well as the electronic calendar that existed in MDL and has been designed to assist the staff with scheduling rooms around the university The system will be automated for both the users and the MDL staff with the goal to eliminate the need for paper and the use of multiple applications OVERVIEW This document will guide the users through each section of the MDL Scheduler Room Request Process This manual will cover the following functions in the application Entering Single Room Requests Entering Multiple Room Requests Entering Recurring Room Requests Viewing All Pending Requests Viewing All Confirmed Requests Viewing Scheduled Rooms on the Calendar NAVIGATION The MDL Scheduler is accessible through your internet browser It will work in Internet Explorer 7 0 The application uses features similar to an internet browser environment such as drop down list calendar icons and radio buttons We recommend that you use the navigation buttons in the application and not the navigation buttons on your browser There is also a security check at the beginning of the Single Room Request application that will require you to enter a series of characters before you can access the actual room request form You will have m

23. tance if your dates were from May 1 July 30 every Monday Wednesday and Friday you would need to click the checkboxes to the left of those three days 21 Check the availability of that room on the dates you entered by clicking the Query Room Status for Conflict Dates button If there are conflicts with the room you will see the conflicts show up 1 the window on the bottom part of the screen The Room Status will appear as Not Available 22 If there is a conflict click the gray button LOV on each line to the right of the Room Name Capacity field and select a new room You will see the Room Status change to OR You can yield the same result if you click the Submit button However it will only submit a partial request the items that do not have a conflict and you will still have to make the corrections to the items that do have a conflict and submit again We suggest running the query first make any necessary corrections and then submit the request 23 To submit this request click the _ Submit button once you have completed the entire request 24 You will see a message that asks Are you sure you want to submit the request Click the EK button to clear the message If you are not sure click the _ 2 button to go back to the form 25 Once you submit your reguest and click OK you will see a message that you have temporarily submitted your recurring room reguest If you check the email
