Delete Complete The Recycle Box is cleared automatically after a certain length of time Manual deletion can also be performed Operations after Deletion With the Stand alone System and Workgroup System transcribed audio files are deleted and Process Status changes to Delete Complete By default transcribed audio files are automatically moved to the Recycle Box and then deleted permanently after a certain length of time Files in the Recycle Box can be restored with the Restore function but once deleted permanently they cannot be recovered Make sure that the configuration matches your requirements 20 180 2 3 How Folders Work In Dictation Module audio files and document files are managed in the Dictation tray and the Document tray respectively Files are managed in different folders based on which process is being performed Properties for each folder can be configured and centrally managed by an administrator There are two types of these folders shortcut folders and virtual folders Shortcut folders appear to be actual folders but are really only shortcuts pointing to specified folder paths The shortcuts are automatically created and managed by DSS Player Pro Users cannot modify them Shortcut folders can be renamed but the change is limited to the name only and does not affect the shortcut path When a shortcut folder represents a path in a local PC t is displayed as normal color If the path is

The E mailing function offers manual transmission via the menu and automatic transmisson with periodic confirmation 4 To send a file via email an email profile needs to be configured in advance E mail FTP E mail The following two methods are available to send a file via email 3 8 1 Automatic Transmission via E mail With a folder configured to automatically send files via email the files in the folder are saved in Outbox and automatically sent to a pre determined destination at specified intervals To automatically send an email the folder needs to be pre configured for automatic sending Folder Design Actions Automatically Switching E mail Profiles When configuring automatic transmission it is beneficial to set an alternative profile at the same time so that if an email cannot be automatically sent with the Auto Send via E mail setting the property switches and the email can then be automatically sent with the Auto Send via E mail Alternative Setting 3 8 2 Manual Transmission via e mail To specify and send a file via email perform the following steps E mail FTP E mail For information on how to register an address refer to Registering an E mail Address To send a file via email an email profile needs to be configured in advance Mi Procedure 1 Select a file 2 Click Y on the tool bar and select a mail profile to be used Or select a mail profil

Module License Module Manager Ej Author1 Author2 O Ly o E Ly Author3 System Transcriptionist3 l Configuration Manager Program About Workgroup System construction For information on how to set up the DSS Player Pro R5Workgroup System refer to Install Guide 8 180 1 1 2 Modules and Tools Dictation Module This is an application for an author It is mainly used to download an audio file recorded with a DVR Digital Voice Recorder or to record an audio file directly onto a PC It can automatically send a downloaded or directly recorded audio file via email or FTP It also has the ability to automatically receive a transcribed document file and to manage it with a link to the corresponding audio file Transcription Module This is an application for a Transcriptionist The application can notify the Transcriptionist of the arrival of a new audio file and switch to a smaller screen at the onset for easier transcription It automatically receives and captures audio files via email or FTP for transcription It has document management capability that can automatically start your word processor software before transcription and can manage a document with a link to the corresponding audio file In addition if the original audio file was received via email or FTP the application can automatically send a document file to a specified destination immediately after transcription has been completed System Config
